ERNE SWIMRUN 2027 – CANCELLATION & REFUND POLICY

This policy applies to entries for Erne SWIMRUN 2027, organised by Magic Swim CIC.
It should be read together with the Erne SWIMRUN 2027 Race Entry Terms & Conditions and Participant Waiver.
1. CANCELLATION BY THE PARTICIPANT
If you change your mind after purchasing an entry, you may request a full refund within 14 days of your booking, provided the request is made no later than 30 days before race day.
After this period, entry fees are normally non-refundable.
This voluntary cancellation period does not affect any statutory rights that may apply.
2. AFTER THE 14-DAY PERIOD
After the 14-day cancellation period, we do not normally provide refunds where a participant:
- Changes their mind
- Becomes unavailable
- Has a scheduling conflict
- Is unable to attend for personal reasons
- Is unable to participate because of illness or injury
Participants are therefore encouraged to consider appropriate personal cancellation or sports insurance.
3. TRANSFERRING AN ENTRY
An entry may be transferred to another eligible participant, subject to approval by the organiser.
Requests for transfers must be received at least 14 days before race day.
The replacement participant must meet all eligibility requirements and provide the information required by the organiser.
Private resale of entries is not permitted.
The original participant remains responsible for the entry until the transfer has been officially approved.
4. DEFERRAL
A participant may request to defer their entry to the following year’s Erne SWIMRUN.
Deferral requests must be made at least 6 weeks before race day.
Deferrals:
- Are subject to organiser approval
- Can normally be made only once
- Are subject to a £10 administration fee
- Must be used for the following year’s event
- Are subject to availability
If the entry price for the new event is higher, the participant must pay the difference.
If the new event is cheaper, no difference will be refunded.
No deferral requests will normally be accepted within 6 weeks of race day.
5. EVENT CANCELLATION
If Erne SWIMRUN 2027 is cancelled by the organiser and the event cannot be rescheduled, participants will be offered a full refund of their race entry fee or, where appropriate, the option to transfer the value of their entry to another Erne SWIMRUN event.
The organiser will communicate the available options to registered participants as soon as reasonably practicable.
6. EVENT POSTPONEMENT OR SIGNIFICANT CHANGE
If the event is postponed or substantially changed because of circumstances outside the organiser’s reasonable control, the organiser will communicate the available arrangements to participants.
Depending on the circumstances, these may include:
- Transfer to the rescheduled event
- Transfer to a future Erne SWIMRUN event
- A refund where appropriate
The specific arrangements will depend on the circumstances and any applicable insurance, venue and other contractual arrangements.
7. WEATHER AND SAFETY
Erne SWIMRUN takes place outdoors and may be affected by weather, water and ground conditions.
The organiser may modify the course, start time, race format or other arrangements where reasonably necessary for participant safety.
A change to the course or race arrangements does not automatically create a right to a refund where the event can still safely take place.
8. FAILURE TO COMPLETE THE RACE
No refund is provided where a participant:
- Does not start
- Starts but does not finish
- Retires during the race
- Is withdrawn for safety reasons
- Is disqualified for breaching the race rules
9. ADMINISTRATION AND TRANSACTION FEES
Where a refund is approved, the organiser may deduct reasonable non-recoverable transaction or administration costs where this has been clearly communicated to the participant and is permitted by law.
Any refund will normally be made using the original payment method.
10. HOW TO REQUEST A CANCELLATION, TRANSFER OR DEFERRAL
Requests should be made by contacting Erne SWIMRUN using the contact details published on the website.
Please include:
- Full name
- Booking reference
- Solo or Team entry
- Reason for the request
- Where applicable, details of the replacement participant
Requests are only confirmed once acknowledged and approved by the organiser.
11. STATUTORY RIGHTS
Nothing in this policy is intended to remove or restrict any statutory rights that cannot legally be excluded or restricted.
Any term relating to refunds, cancellation or transfer will be applied subject to applicable consumer law.
