Safeguarding Policy

1. Purpose

Erne SWIMRUN is committed to providing a safe, respectful and inclusive environment for participants, volunteers, staff and everyone involved in the event.

This policy sets out our approach to safeguarding and our responsibilities when concerns arise.

2. Scope

This policy applies to:

  • Participants
  • Volunteers
  • Marshals
  • Event staff
  • Contractors
  • Coaches and support personnel
  • Anyone representing Erne SWIMRUN

3. Our Commitment

We are committed to:

  • Treating everyone with dignity and respect
  • Promoting an inclusive environment
  • Taking safeguarding concerns seriously
  • Acting promptly when concerns are raised
  • Protecting people who may be particularly vulnerable
  • Following appropriate safeguarding and reporting procedures

4. Expected Conduct

Everyone involved in Erne SWIMRUN is expected to:

  • Treat others respectfully
  • Avoid discriminatory, threatening or abusive behaviour
  • Respect personal boundaries
  • Follow instructions from event staff and safety personnel
  • Report safeguarding concerns promptly
  • Never deliberately place another person at unnecessary risk

5. Participants Under 18

Erne SWIMRUN is an adult race and participants must meet the minimum age requirement stated in the Race Entry Terms & Conditions.

If a safeguarding concern involving a person under 18 arises in connection with the event, it will be treated seriously and referred to the appropriate authority where necessary.

6. Vulnerable Adults and Other Vulnerable Participants

Some people may require additional support because of disability, vulnerability or other circumstances.

We will take reasonable steps to ensure that people are treated fairly, respectfully and safely, while recognising that Erne SWIMRUN is an outdoor endurance event involving inherent physical risks.

7. Reporting a Safeguarding Concern

Anyone who has a safeguarding concern should report it to the event organiser or an event official as soon as possible.

Where there is an immediate risk of serious harm, contact the emergency services by calling 999.

Concerns should not be investigated personally by participants or volunteers. Information should be passed to the appropriate responsible person or authority.

8. Confidentiality and Information

Safeguarding concerns will be handled sensitively and information will only be shared with people or organisations who need it to respond appropriately.

Information relating to safeguarding concerns will be handled in accordance with applicable data protection requirements.

9. Recruitment and Volunteers

Where appropriate, people working in roles involving responsibility for participants or vulnerable people will be selected and briefed according to the requirements of their role.

Event volunteers and marshals will receive appropriate information about their responsibilities and expected conduct.

10. Safeguarding During the Event

Safeguarding forms part of the wider event safety arrangements.

Participants should speak to a marshal, event official or member of the event team if they feel unsafe, threatened, harassed or concerned about the welfare of another person.

11. Review

This policy will be reviewed periodically and updated where necessary to reflect changes to the event, relevant guidance or legal requirements.
