1. ABOUT THESE TERMS

These Terms & Conditions apply to entry and participation in Erne SWIMRUN 2027, taking place on 22 August 2027 at Share Discovery Village, Lough Erne, County Fermanagh, Northern Ireland.

The event is organised by Magic Swim CIC, acting through Maciej Zielinski.

By entering Erne SWIMRUN 2027, you confirm that you have read, understood and agree to these Terms & Conditions, the Race Rules, the Safety & Race Briefing information and the Participant Waiver.

These terms should be read together with any information provided to participants through the Erne SWIMRUN website, registration system, Race Handbook and official communications.

2. REGISTRATION AND ENTRY

Entries are available as:

  • SOLO
  • TEAM OF TWO

A team entry consists of two participants who must race together in accordance with the Team Racing rules.

Your entry is confirmed only when the required entry information has been completed and payment has been successfully received.

Entry places are limited and are allocated on a first-come, first-served basis while places remain available.

Participants must provide accurate and complete information during registration.

Entry information may be used for race administration, safety, timing, results and participant communications in accordance with the Erne SWIMRUN Privacy Policy.

3. ELIGIBILITY

Participants must be 18 years of age or older on race day.

Participants must be capable of completing the required swimming and running distances and must have sufficient fitness, experience and preparation to participate safely.

Participants are responsible for determining whether they are physically and medically able to participate.

The organiser may require a participant to withdraw or may prevent participation where there is a reasonable safety concern.

4. RACE FORMAT AND COURSE

Erne SWIMRUN 2027 consists of approximately:

  • 11.5 km total
  • 9.4 km running
  • 2.1 km swimming
  • 2 laps

The race alternates between running and swimming sections.

The published course information is provided as a guide and may be changed where reasonably necessary for safety, environmental, operational or other event-related reasons.

Participants must follow the marked course and instructions given by race officials, marshals and safety personnel.

Entering or exiting the water is permitted only at designated locations.

Taking an incorrect route may result in disqualification.

5. MANDATORY EQUIPMENT

Participants must carry all mandatory equipment throughout the race.

Mandatory equipment includes:

  • Race number/bib or race identification as instructed
  • Event swim hat
  • Whistle
  • Running shoes/trainers
  • Soft or collapsible cup
  • Waterproof packaged pressure bandage/field dressing

Wetsuits will be mandatory where the water temperature is below 14°C.

Participants may be subject to equipment checks before the start or during the event.

Participants who do not have the required equipment may be prevented from starting or continuing.

Additional equipment may be permitted where it complies with the race rules.

6. TEAM RACING

Teams consist of two participants.

Team members must remain together throughout the race.

Unless otherwise instructed by race officials:

  • Team members must not be more than 100 metres apart on land
  • Team members must not be more than 10 metres apart during swimming sections

If one team member is unable to continue, the team must report to a marshal and follow the instructions provided.

7. SAFETY AND PARTICIPANT RESPONSIBILITIES

Participants must:

  • Follow instructions from race officials, marshals and safety personnel.
  • Use designated water entry and exit points.
  • Follow the marked course.
  • Carry all mandatory equipment.
  • Take reasonable care of their own safety and the safety of others.
  • Report injuries, emergencies or significant hazards to the nearest marshal.
  • Inform a marshal if they retire from the race.

Participants must not dive into the water.

If a participant is in difficulty in the water, they should roll onto their back and raise an arm to attract the attention of the safety team.

Participants must not deliberately obstruct, endanger or interfere with other competitors, marshals, volunteers or members of the event team.

8. HAZARDS AND NATURAL CONDITIONS

Participants acknowledge that Erne SWIMRUN takes place in a natural outdoor environment.

The course may include:

  • Open water
  • Uneven or rough ground
  • Mud
  • Slopes
  • Rocks
  • Roots
  • Natural debris
  • Slippery surfaces
  • Water entry and exit hazards
  • Changing weather and water conditions

Conditions may change during the event.

Participants are responsible for adapting their pace and behaviour to the conditions and must follow instructions from the race team.

9. WITHDRAWAL AND RETIRING FROM THE RACE

If you need to retire during the race, you must report to the nearest marshal.

You must not simply leave the course without informing the race team.

Race officials may require a participant to stop if they believe continuing would create a safety risk to that participant or others.

Failure to follow a reasonable instruction from a race official may result in disqualification.

10. CUT-OFF TIMES

The race has a 11:30am race cut-off.

Additional intermediate cut-offs may be introduced where required for course and safety management.

Full details of any intermediate cut-offs will be communicated to participants before race day.

Participants who do not reach a required checkpoint within the applicable cut-off time may be withdrawn from the race.

11. TIMING AND RESULTS

Race times will be recorded using the event timing system.

Official results may include participant name, category, gender, club/team information and race time.

The organiser reserves the right to amend results where timing errors, course infringements, penalties or other circumstances require correction.

The Race Director’s decision regarding race conduct, penalties and disqualification is final, subject to any formal complaints process operated by the organiser.

12. LITTER AND ENVIRONMENT

Erne SWIMRUN takes protection of the natural environment seriously.

Participants must not deliberately discard litter or equipment on the course.

Waste must be carried to the next marshal or disposed of at designated waste points.

Deliberate littering may result in disqualification.

13. PARTICIPANT CONDUCT

Participants and their supporters are expected to behave respectfully towards:

  • Other participants
  • Race officials
  • Marshals
  • Volunteers
  • Safety personnel
  • Venue staff
  • Members of the public
  • Event partners and suppliers

Abusive, threatening, discriminatory or aggressive behaviour may result in removal from the event and/or disqualification.

The organiser may also take appropriate action in relation to serious misconduct occurring before or after the race where it is connected with participation in the event.

14. ENTRY TRANSFERS, DEFERRALS AND REFUNDS

Entry transfers, deferrals and refunds are subject to the Erne SWIMRUN Cancellation & Refund Policy applicable to the 2027 event.

Any transfer of an entry to another person must be approved by the organiser and completed through the official process.

Private resale of entries is not permitted.

The organiser may refuse a transfer where the required information has not been provided or where the transfer does not comply with the applicable entry conditions.

Entry changes may not be possible after the published deadline.

Nothing in these Terms & Conditions limits any statutory rights that cannot lawfully be excluded.

For a race taking place on a specific date, the statutory cancellation rules for leisure services may differ from those applying to ordinary online purchases. GOV.UK

15. EVENT CHANGES, POSTPONEMENT OR CANCELLATION

The organiser reserves the right to make reasonable changes to the event where necessary, including changes to:

  • The course
  • Swimming sections
  • Start or finish arrangements
  • Start times
  • Safety procedures
  • Race format
  • Venue arrangements

Changes may be necessary because of weather, water conditions, environmental conditions, safety concerns, venue requirements, access restrictions, public authority requirements or other circumstances beyond the organiser’s reasonable control.

If the event must be cancelled, postponed or materially changed, the organiser will communicate the arrangements to registered participants as soon as reasonably practicable.

Any refunds, credits or transfers offered in such circumstances will be dealt with in accordance with the applicable Cancellation & Refund Policy and the circumstances of the event.

The organiser will not be responsible for consequential losses such as travel, accommodation or other personal expenses unless required by law.

16. INSURANCE

Appropriate event insurance will be arranged for Erne SWIMRUN 2027.

The event insurance is subject to the terms, conditions, limits, exclusions and excesses contained in the relevant insurance policy.

Event insurance does not mean that individual participants have personal accident or personal injury insurance.

Participants are responsible for arranging any personal accident, sports or travel insurance they consider appropriate for their participation.

17. PARTICIPANT WAIVER

Participation in Erne SWIMRUN involves inherent risks associated with open-water swimming, running and outdoor activity.

By entering the event, participants acknowledge these risks and agree to participate responsibly and in accordance with the Race Rules and safety instructions.

Participants will be required to accept the Erne SWIMRUN Participant Waiver as part of the registration process.

The Participant Waiver forms part of the participant’s agreement with the organiser.

Nothing in the waiver or these Terms & Conditions is intended to exclude or restrict any liability that cannot legally be excluded or restricted.

18. PHOTOGRAPHY AND MEDIA

Photography and video may take place during Erne SWIMRUN for event documentation, promotional, editorial and social media purposes.

Participants should refer to the Photography & Media Policy for further information about photography, filming and the use of participant images.

19. PERSONAL DATA

Personal information collected during registration and participation will be handled in accordance with the Erne SWIMRUN Privacy Policy.

Information may be used where necessary for:

  • Race administration
  • Participant communication
  • Emergency and safety purposes
  • Timing and results
  • Event management
  • Legal and insurance requirements

20. COMPLAINTS

If you have a complaint or concern relating to the event, please contact the organiser using the contact details provided on the Erne SWIMRUN website.

Where possible, complaints should be raised as soon as reasonably practicable so that the organiser has an opportunity to investigate the matter.

21. CHANGES TO THESE TERMS

The organiser may update these Terms & Conditions where reasonably necessary, including where event arrangements, legal requirements or safety procedures change.

The version applicable to your entry will be the version in force at the relevant time, subject to any rights you may have under applicable law.

The latest version will be published on the Erne SWIMRUN website.

22. GOVERNING LAW

These Terms & Conditions are governed by the laws applicable in Northern Ireland.

Any dispute arising in connection with these Terms & Conditions will be subject to the jurisdiction of the courts of Northern Ireland, except where applicable law provides otherwise.
